We all know technology is essential for a modern education. From online assignments to digital gradebooks, educational apps bring incredible value to the classroom. But for our IT team, every new tool represents a new security frontier.
At West Valley School District, the safety of our students’ data—from grades to personal identifiers—is our paramount concern. We don't just hope for the best; we have built a multi-layered defense to manage the complex world of educational technology, or "EdTech."

You may not see it, but our data security team is constantly working to manage the risk from external partners—the hundreds of software companies we rely on.
Here are the proactive steps we take to protect student and staff data before an app is ever used:

Mandatory Vetting & Approval: Every single new application or platform—whether purchased or free—must go through a strict vetting process. Our IT and legal teams check the vendor's security protocols and confirm they meet federal and state privacy standards (like FERPA).

Legal Data Contracts (DPAs): We require every approved vendor to sign a Data Privacy Agreement (DPA). This is a legally binding contract that clearly dictates:

What data they can collect (only what's absolutely necessary).

How they must encrypt and protect it.

That they can never sell or share our students' information for marketing or other purposes.

When in Doubt, Ask! If you discover a fantastic new tool, please don't start using it right away. Simply submit it to IT for review. We want you to have the best tools, and we want to help you use them securely.

The security habits you model are the best defense against any cyber threat!

Activate Multi-Factor Authentication (MFA): This is the single most effective security measure you can take. If your email, bank, or school portal offers MFA (a code sent to your phone), turn it on now. Even if a hacker steals your password, they can't get in without your phone.

Create Unique Passwords: Do not reuse the same password for your school portal, your bank, and your social media. If one site gets hacked, the others are instantly exposed. Consider using a reputable password manager.

Be Skeptical of "Urgency": If you receive an urgent text or email (even if it looks like it’s from the school or your bank) asking you to click a link, STOP. Call the organization back using a phone number you know is correct (not the one in the message) to verify the request.
