 INTRODUCTION

As in past years, a significant measure of our District's educational service to students will be the quality of teaching we can offer to students in the absence of their regular teacher.  The purpose of this guide is to help you, the substitute, to work in our District effectively and comfortably.  It contains baseline information about our District procedures, expectations from principals and teachers, and an outline of services you can expect from us.

GENERAL INFORMATION

I.       QUALIFICATIONS

A.     Certification

All substitute teachers must have registered with the West Valley School District a valid Washington Teacher's Certificate or Emergency Permit.  Those who hold a former certificate can obtain a permit to teach.  Certification questions can be answered by calling the Educational Service District No. 105, phone number 575-2885, or visiting their office located at 33 South Second Avenue in Yakima.

II.     APPLICATION PROCEDURE

A.     Requirements

To have your name placed on our substitute teacher's list, you must successfully pass a pre-employment substance abuse screening before employment.  A criminal history records check through the Washington State Patrol/FBI must also be conducted pursuant to RCW 28A.400.

It will be the substitute teacher's responsibility for payment of fingerprinting and substance abuse screening costs.  Payment for the fingerprinting must be in the form of a cashier's check or money order made out to the Washington State Patrol.  Please contact Human Resources for fee amounts.

You will need to also complete the following:

·      Application of Certificated Substitute

·      New Employee Data Sheet

·      Employment Eligibility Verification (Form I-9)

·      W-4 Form (Income Tax Deduction)

·      Direct Deposit Payroll Form

·      Immunization History Form

·      Signed Safety Orientation Document

·      Register teacher certificate at the Administration Building

B.     Time of Application

         Application to substitute may be made at any time.

III.    COMPENSATION

A.     Salary

The daily base pay is $125.00 a day ($68.75 half day; 3.75 hours day) for substitute teaching. 

Substitute teachers will be placed on the salary schedule when they complete 20 consecutive days in any one position, and remain at that rate of pay as long as they continue in that long term substitute position.  The substitute teacher must provide verification of experience and official sealed transcripts in order to be placed on the salary schedule and receive the contracted amount of pay. 

Substitute teachers will be compensated a minimum of one half day's pay anytime they are called to teach for West Valley Schools.

B.     Payroll Dates

Substitutes are paid for the number of days indicated on the time sheet submitted by the building secretary to the Administration Office according to the monthly payroll deadline, which is the last working calendar day of each month.

C.     Benefits/Deductions

Substitute teachers are covered by Social Security and can apply to the Department of Retirement Systems for retirement benefits.  Federal income tax is withheld from the substitute's salary according to exemptions filed with the Administration Office.

IV.    PROCEDURE FOR ASSIGNING SUBSTITUTES

1. We utilize an internet based substitute assignment system - Substitute Online.  This enables the teacher to submit his/her absence online, and it also enables the substitute to access the available jobs in the same manner.  Substitutes don't need to wait for a phone call, they are free to accept any assignment they would like to.  It is a system which greatly streamlines the substitute assignment procedure.  There can and will be phone calls made by the Substitute Coordinator, if a position has not been taken the morning of the absence, or on occasion, the evening before, if the next school day appears to be a heavy sub need day.

After you as a substitute, complete the necessary paperwork and clearances, your name will be placed into Substitute Online, with a username and password.  This will give you the ability to immediately begin to accept assignments.

V.     EMERGENCY SCHOOL CLOSURE

In the event of a school closure or delayed start time in West Valley School District due to in-clement weather and/or conditions, the closure or delay will be announced on the following radio and television stations.  The district voicemail system will also provide accurate information regarding such closure/delays at 972-6002.

EXPECTATIONS

WHAT TO EXPECT FROM THE PRINCIPAL

  • A friendly welcome and helpful attitude.
  • Information you need for daily functioning:

-       schedule of classes/bell schedule

-       map of building showing such things as teacher workroom, lounge, library, etc.

-       attendance, lunch, playground, tardy procedures

-       notice of any extra activities

  • Discipline support when needed.
  • Necessary supplies to carry on the day's activities.

 

WHAT THE PRINCIPAL WILL EXPECT OF YOU

  • That you follow the teacher's lesson plans.  Where plans ask you to do something for which you are unprepared or do not sufficiently fill the day - that you will have some favorite and successful alternative activities to adapt to the subject matter.
  • That you practice solid teaching methods.
  • That you learn the procedures given you.
  • That you will expect the day to show quality and will actively strive for that quality.

 

WHAT TO EXPECT FROM THE TEACHER

  • Advance notice when possible, which will include a chance to talk about plans.
  • An up-to-date seating chart.
  • A schedule of the typical classroom routines.
  • Adequate lesson plans with the necessary resources to carry them out.
  • Directions on where to obtain student materials.
  • Special notes about homework, student health problems, possible discipline situations and regular student helpers/aides.
  • Special helpers will be prepared to do specific helpful functions.

 

WHAT THE TEACHER WILL EXPECT OF YOU

  • A summary note evaluating the performance of the class on planned activities for the day.
  • Work that can be corrected will be corrected.
  •   That you will contact a helpful teacher or the principal early in the day if you need assistance.

 

WHAT TO EXPECT FROM WEST VALLEY STUDENTS

  • They will willingly comply with your instructions.
  • They will extend a reasonable effort to complete class work.
  • They will show good manners and project a friendly demeanor.

 

ACTUAL CLASSROOM DAY IN OUTLINE

  • Arrive at the elementary schools by 8:30 AM.
  • Arrive at the middle school/junior/senior high school by 7:30 AM.
  • Report immediately to the office.
  • Gather keys, mail, bulletins, needed procedures
  • Meeting the class

-       go over the lesson plans beforehand.

-       introduce yourself to the class - write name on board

-       if there is no seating chart, make one.

  • Familiarize yourself with required reports - attendance, lunch, etc.
  • TEACH TO THE PLANS
  • Discipline - the substitute's first objective is to gain the respect of the pupils. 

This can be done best by:

Being prompt

Being neat

Being patient

Being honest

Being enthusiastic

Having a sense of humor and definite objective

  • Write note to teacher and complete evaluation form.
  • See building principal or secretary for Payroll and next day's schedule.

 

RESOURCE MATERIALS

Observation of other teachers during a preparation time is one of the most practical ways of adapting to the teaching style of a building.  Each school has a library and audiovisual department.  Each is staffed with professionals to assist you in developing appropriate activities and to coach you in the use of equipment.
